Job Description: We are currently seeking an experienced and dynamic Events Specialist to join our team in Calgary, Canada. As the Events Specialist, you will be responsible for planning, coordinating, and executing various events at our food and beverage establishment, ensuring memorable experiences for our guests. Key Responsibilities: Event Planning: Collaborate with clients and internal stakeholders to understand their event requirements, objectives, and budget. Develop event concepts, create proposals, and customize packages to meet client needs. Coordinate all aspects of event planning, including venue setup, decorations, audiovisual equipment, and catering arrangements. Client Management: Serve as the main point of contact for clients throughout the event planning process. Build and maintain strong relationships, provide exceptional customer service, and address client inquiries and concerns promptly. Regularly communicate event updates, timelines, and logistics to ensure a smooth and successful event. Budgeting and Financial Management: Develop event budgets and track expenses to ensure profitability and cost-effectiveness. Negotiate contracts with vendors, suppliers, and service providers to secure competitive pricing. Monitor financial performance and prepare event reports for management review. Event Coordination: Coordinate all event logistics, including scheduling, staffing, and onsite coordination. Work closely with internal teams, such as culinary, serving, and technical staff, to ensure seamless event execution. Oversee event setup, manage guest arrivals and registrations, and troubleshoot any issues that may arise. Vendor Management: Source, select, and manage relationships with external vendors, such as caterers, decorators, entertainers, and equipment rental companies. Negotiate contracts, review proposals, and ensure quality service and timely delivery of vendor services. Marketing and Promotion: Collaborate with the marketing team to develop event marketing strategies and promotional materials. Leverage various marketing channels, including social media, email campaigns, and advertising, to attract attendees and maximize event participation. Post-Event Evaluation: Conduct post-event evaluations to assess the success of each event. Collect feedback from clients and attendees, analyze event metrics, and identify areas for improvement. Use insights gained to enhance future events and optimize guest experiences. Health and Safety Compliance: Ensure compliance with all health and safety regulations during events, including food handling, alcohol service, and crowd management. Maintain a safe environment for guests, staff, and vendors.

Job Requirement: Previous experience in event planning and coordination, preferably in the food and beverage industry. Strong organizational and project management skills, with the ability to manage multiple events simultaneously. Excellent interpersonal and communication skills, with the ability to build relationships with clients and vendors. Creative thinking and problem-solving abilities to overcome challenges and create unique event experiences. Budgeting and financial management skills to ensure events remain within budgetary constraints. Proficiency in event planning software and technology tools. Knowledge of local health and safety regulations related to events and food service. Flexibility to work evenings, weekends, and holidays as required.
